Migrate to Office 365 for greater collaboration and improved learning outcomes

Spread across five campuses in outer-east Melbourne and Eastern Victoria, Chairo is a fast growing, non-denominational Christian school, educating more than 1,700 K-12 students. Having long relied on Google classroom as their central learning hub, the school has recently embarked on a significant digital transformation migrating to Office 365 to take advantage of Microsoft’s broader capabilities and its secure on-shore data governance practices.

Business Challenge

 

With an extensive ICT network across five separate campuses, Chairo Christian School were focused on three main areas when beginning their digital transformation with MOQdigital, these included;

  • Enhanced its integration with its existing inventory of Windows-based devices
  • Greater on-shore industry support and data security from Microsoft
  • Streamlined licence consolidation across Microsoft’s collaborative applications

Lyndon Calway, Head of ICT, explains that while Google's collaborative tools are currently stronger, Microsoft is making huge strides within education and security, and as a such, it appears to be a much better fit for Chairo.

 

“Staff were already natively using Microsoft applications and then storing documents in Google Drive – that didn’t make sense. Outlook, OneDrive, and SharePoint were really key for us. From this point, we have the foundation and structure in place to use the best tools available.”

Solution

 

Wanting to quickly incorporate more Microsoft based applications into their workflow, Chairo pushed forward on their own and made the jump to Microsoft Teams as their central collaborative hub. With a desire to fully adopt Microsoft’s growing cloud-based services, Chairo Partnered with Microsoft’s Australian team, who recommended several Gold Partners to help them make the switch.

After meeting with these partners, MOQdigital was chosen as the partner to help Chairo overcome their licensing, security and collaborative challenges.

“MOQ clearly stood out from the available options,” explains Lyndon, “we met with other partners, but they didn’t bring anybody with an education focus to the group. They simply didn’t know what we wanted to achieve. MOQ on the other hand, are incredibly focused on education – they understand the industry and understand who they support, and for us, that was huge”.

Beginning in late 2020, MOQdigital stepped in to assist with the full cloud migration. Initially deploying Office 365 as a whole school solution for staff and students, MOQdigital then implemented Microsoft Azure Sentinel for Schools, a comprehensive cloud security tool that provided Chairo with 24x7 Security Operations Centre monitoring and enhanced visibility of, and protection against cyber criminals and threat actors.

With a centralised collaborative hub supported by unparalleled cyber security and a streamlined licensing structure, Chairo is now ready to take the next step in its digital transformation. With less time focused on incompatible tools and applications, the whole school can now focus in on leveraging its data for improved learning outcomes with lower impact and lower disruption to everyone.

Outcomes

  • Seamless integration between applications and a common language across applications supports staff understanding of the whole IT environment.
  • Teams has made it easier to collaborate, with the whole community easily linked via their laptop, phone or device on the same platform
    Centralised location of data has removed the need for separate drives, increasing reducing sync and backup issues while also boosting efficiency
  • OneDrive has simplified organisational policies, ensuring backups are always synced and staff only have to worry about learning outcomes and not technological challenges.
    Consolidating five on-premises data centres to the cloud has seen data storage costs more than half
  • Complete decentralisation from on-premises means issues can be localised and not affect all five campuses
  • Greater insights into student and staff engagement, as well as whole school wellbeing

Summary

Communication proved to be the key to this project’s success. With support from MOQdigital, Chairo Christian School overcame many complex challenges to streamline and consolidate its whole school digital environment. With MOQdigital looking after the technical build and migration, those within the school community were able to experience a seamless integration of new applications into their existing workflow. This simplified change management has underpinned the whole process, with MOQdigital providing the right environment, and Chairo’s ICT staff able to easily point other staff and students in the right direction, allowing them to experience the right results each and every time.

With such a dynamic shift, Lyndon is keen for everybody to embrace this new path, even if there is some adjustment required.
